RE: COVID-19 Update – Doing Our Best to Keep Our Clients Informed

Dear Customer:

I am writing this News Bulletin today to keep everyone informed about how we are doing at Task-co Building Maintenance in part due to the rising numbers of people contracting COVID-19 virus during this pandemic in Ontario.

We here at Task-co are all doing well. None of our Employees have contracted the COVID19 virus thus far. This is due to our diligent Employee monitoring and training.

Here at Task-co Building Maintenance we are continuing to educate our Employees in order to keep on top of our procedures and policies in relation to this COVID-19 pandemic.

Task-co Building Maintenance management will not tolerate any of our Employees not practicing safe procedures and our training routines to help in this fight against COVID-19.

Our policy is to write up any Employees not adhering to protocol and they will receive further education emphasizing the reasons why it is important to keep them safe if any Employee is found to be not following our procedures.

If you notice that this is happening in your workplace, please contact the Task-co Building Maintenance offices so management can rectify the situation immediately.

Daily Procedures

Daily – Management have been disinfecting our work vehicles on a daily basis after every shift.

Daily – Management have been disinfecting and cleaning our work unit bathrooms and all touch points after each shift.

Daily – We have been enforcing our procedures and policies in regards to keeping our Employees and your workplaces safe from acquiring the COVID-19 virus.

Daily – Mandatory monitoring of Task-co Staff. If a case arises that any one is our Staff have picked up any sort of virus, the Staff member must report the issue to management and the Staff member will be on a leave until they are better. Task-co Staff are required to have a COVID-19 test before they return back to work and must quarantine for 14 days.

Daily – It is mandatory that all Employees wear their masks unless they are eating or drinking. Staff are required to maintain a 6 ft apart social distance. This also includes working outdoors.

Daily – It is mandatory that all Task-co Building Maintenance Staff members notify Task-co management if they are leaving on a vacation outside of Ontario or Canada. It is also mandatory that any Staff members vacationing, outside of Ontario or Canada they are required to have a COVID-19 test upon return and must quarantine for 14 days upon return
to Ontario.

As Director of Task-co Building Maintenance, I have learned that while working with all sorts of different businesses, we cannot control what our Employees or the public are doing outside of the workplace however, what we can do is encourage everyone that social distancing from family and friends is important, and to only visit grocery stores and essential health facilities if needed.

Other things we can do is encourage them to wear their masks and practice proper hygiene.

Additionally, respectful communication and cooperation is key.

As I’ve been doing my studies, I truly believe that people are not following our Canadian Government’s recommendations to stay home and to not socialize with family and friends to flatten this curve.

This can put our work environments are at risk.

I know that times are difficult however it, benefits businesses to also be diligent in advising their employees to wear their masks properly; to have mandatory hand washing and hand sanitizing in place. You may also wish to consider an employee monitoring system in the name of keeping each other safe and protected.

If the virus strikes within your facility/workplace, I do highly recommend your work environment be fogged with disinfectant.

I am asking our Clients to communicate with us if one or more of their Employees happens to bring the COVID-19 virus into their workplace.

If COVID-19 does appear to be in your facility we would like to take extra measures to help you keep your workplace environment safe by using extra measures of cleaning/disinfecting/fogging so that work environments that I am sending Task-co Employees into will be safe.

In this New Year I am taking extra measures to have Employees wear their masks at all times unless they are eating or on break away from a client’s facility.

I am also making it mandatory that all our Employees must wear safety goggles. Task-co Employees are always on the move and people can also contract the COVID-19 virus through entry to their eyes.

Every effort will be made for Task-co management and personnel to communicate and monitor everything closely to keep a safe work environment.

As we all know, the cost of personal protective equipment and the proper government approved disinfectant to kill COVID-19 has gone up in cost. It has been a great challenge to purchase PPE and supplies at times, along with paper products soaps and supplies. Many items from our suppliers are simply unavailable until further notice or in short supply with purchasing limits.

We are keeping a close eye on consumption of all of these supplies at our own locations
and those locations that we supply.

Management monitoring of our Employees and Clients have also been a challenge. This pandemic has been taking a great deal of affect mentally on people. Everyone seems to have different views about COVID-19, or they have become afraid of contracting the COVID-19 virus in their workplace.

We are implementing our cleaning/disinfecting routines and we are agitating and disinfecting all touch points.

If we have noted that our Employees are not properly performing this routine, Task-co Management will implement a write-up for the Employee in question and will continue to provide education of all Employees on why it is important and imperative that they follow the routines.

It’s difficult to tell people what they should be doing when they’re not on company time outside of the workplace. We will continue to keep educating and reminding people how important it is to keep us all going as employment numbers are dropping and some businesses are slowing down or closing.
It’s a real concern for Myself and my Staff that this virus is happening because many people are letting their guard down as things get worse.

Our view at Task-co Building Maintenance is to enforce these rules in the workplace and continue to deliver a service that will help keep everyone safe with this fight against COVID-19 and also keep reminding our Team that when outside of the workplace, how important it is to listen to our Canadian government’s recommendations to stay safe. The faster we do this the faster we can flatten the curve.

Hopefully as vaccinations start to arrive and becomes more readily available, this will also help, however it still does not allow us to drop our guard in order to keep practicing a safe workplace.
